Top effective phrases in customer service

Customer service is all about habit and language; putting in place a structure of how you want your staff to interact with customers and seeing them build on that over time. Relationships can be built this way retaining customers and seeing them pass on your reputation through word of mouth. There are a few phrases that you can have handy that can be effective in pleasing a customer, even during a complaint.

“Happy to Help” – The best companies know how to provide a service with a smile, and this stock phrase is one that ensures every customer received this feeling, no matter which member of staff they are talking to.

“That’s great information, I’ll look for an answer right away” – Most customer service queries are with customers that want a solution to a problem. By acknowledging that, making them feel valuable, and that you’re listening and will try to achieve the solution immediately, you’re building a rapport.

“Thank you! Our team will be pleased with your Feedback” – Sometimes a customer just wants to give you positive feedback. In these instances always show how pleased you and your team are with the valued feedback of the customer.

“How can we make this right?” – Sometimes it is a positive step to be direct and see what the customer expects from you. You’ll often find that a small gesture from you will suffice, and the customer will feel valued at your willingness to be flexible.
